Identifying Duplicate E-Mails, SSNs, or SINs

This document will walk you through how to use the new duplicate alert functionality.


UNITE will alert you when any of the following information exists on another record:

  1. Primary E-Mail Address
  2. SSN
  3. SIN


If any of the above information exists on a record you will receive a pop-up indicating so. There are 2 different types of duplicate pop-ups you could receive. 





Duplicate Record Found in Your Organization 


If a duplicate record(s) is found within your organization, you will receive this pop-up. 



This pop-up will display the following of the duplicate(s) found:

  1. Name (First and Last)
  2. Context (Membership/Training or Prospect)
  3. District Council 
  4. View Now Link (Takes You To the Record)
To elaborate more on the Context, this is where the record is located. If you see (Training,Membership), for example, this means that this duplicate record is a Member and exists in the Member Roster. 

If you see (Organize), this means that the duplicate record is a Prospect and exists in the Organize>Prospect Roster


Selecting the View Now button will take you to the duplicate record. From this page, you can make any edits to the profile. 


Note: If a duplicate E-mail is found and that record is a Prospect, you can delete the primary e-mail address to continue adding your new Member/Non-Member




Duplicate Record Found Outside Your Organization 


If a duplicate record(s) is found outside your organization, you will receive this pop-up



This pop-up displays the following:

  1. Context (Membership/Training or Prospect)
  2. District Council


You will not be able to select a link to go to this record as it exists outside of your organization. If you run into this scenario please contact the District Council Administrator listed on the Matching Record to get more information on that record.
