(Training) How to Build a Survey and Send a Survey

Use this guide to assist with building a survey using the Survey Builder feature in UNITE.


Start by going to Training >>> Communicate >>> Survey Builder



In the Survey Builder page, to the right, click to Add a new Survey.  

 


In the New Survey page, in the Details section, please read and select the appropriate check boxes that will apply to the survey. Also, be sure to give the survey a good name or description.


*Please Note – This survey system (including anonymous surveys) is NOT intended to be used for official Country votes or elections. We do not meet the election requirements outlined by the NLRB or DOL for elections.


Customized selections include:

  • Sending New Survey to All Students or only those with Active UNITE accounts (Login Required).
  • Making the Survey Anonymous (individual student votes cannot be seen)



On the same page, click the edit icon ( ) button to start creating the question / answer structure of your survey.

 

You can build questions on top of questions by clicking on the “Add Question” button in bottom left. Please take note of the different Data Types and Options as you create your survey. Also, you can make the question “Required” for your student to move to next question. Questions can be reordered. *There is a 250 character limit per survey you create.


Once you are complete with adding your survey, click the SAVE button.

 

You also have the ability to RESET the survey to start over, if you wish. 

 

  


After a survey has been created you will need to distribute the survey in Communications.


Navigate to Training > Communications and select the in top right. 



  • Select Organization
  • Create Title for your communication
  • Choose which Distribution List you will use
  • Select Channel/Content – this will determine how your communication will be sent. 
    • Survey - (Primary: Text; Secondary; E-mail), UNITE will first attempt to send a survey via Text Message provided a number is listed under Mobile Phone # field in your student’s record. If no number is listed under this field, UNITE will send an E-mail communication with a link to the survey. You can review this information in the Recipients section of your communication under Target Identifier. If you notice a student’s mobile # is not listed on the Recipient section, you can update/correct it and your draft communication will refresh to include the updated mobile number.
    • E-mail Survey – We recommend using E-mail Survey if sending out surveys with numerous questions.
  • Choose the Survey you wish to distribute under the “Survey” field
  • Set the “Expiration” date
  • SAVE when finished


Once saved, you will be presented with a list of a communications, open to complete. Notice communication will be in “Draft” status.


There are 3 parts to a Communication: DETAILS – CONTENT – RECIPIENTS

Note - If you need to change any of these details once your communication has been created, you can do that while in “draft” status under the DETAILS section of your newly created communication.

If sending E-mail, select the dashes below “Sender E-mail List” to choose your FROM e-mail address. You have the option to customize how the sending name is displayed in your communication in the “Sender Display Name” field. All replies to communication will be received by creator of communication.

 

The next part to building your communication is CONTENT, the system uses an HTML email format. This is simply the “Body” of the email you wish to send.

 

To include an Image or Link, click icon to open your File Explorer box. From here you can select the document/image link to be inserted. The document/image will be embedded as a link into the communications when you send.  



Note: Many  Email providers will consider certain attached documents as potential spam, potentially affecting the delivery rate of Emails. Therefore, UNITE creates a “Link” to a document instead of actually attaching the document or image. This also allows UNITE to determine which Email communications are opened, delivered, engaged, and/or failed.



Once your content has been created you can move to RECIPIENTS. The list of recipients is based on the Distribution List you have selected. If there is a student you wish to exclude from this communication, check the box for the student under the EXCLUDE column. You can also CC additional recipients from your roster if they are not part of the Distribution List you are using in communication. Send Test – If creating an E-mail communication, you can send a sample of your communication to yourself prior to distributing to your students.

 

 

After selecting SEND TEST you will be notified that the test communication is being sent.  

 

You will then receive an email sample of your communication as well.

 

 

 

Schedule - If you need to send the communication on a specific date/time in the future, choose the Schedule icon. UNITE will automatically send communications at date/time set.  

 

 

 

 

 

When you are satisfied with your communication select SEND
